Chapman Digital LLC (“Chapman Digital,” “we,” “us,” or “our”) operates CD-AI at https://chapmandigital.ai. Our company website is https://chapmandigital.com.

CD-AI is intended exclusively for individuals age 18 or older. This policy describes how we handle personal information in connection with CD-AI, including its accounts, chats, uploaded files, and workspaces.

This policy covers CD-AI. It does not describe the separate collection practices of our company website unless expressly stated.

1. Information we collect

Account and authentication information

When you register, we collect your full name, email address, and password for account creation and authentication. Passwords are stored using salted hashes rather than readable password values.

Chats, uploads, and workspace information

We collect and store the content you submit to or generate through CD-AI, including:

  • Prompts, messages, conversation history, and generated responses.
  • Uploaded files and documents.
  • Text extracted from documents and vector embeddings, which are numerical representations used to search and retrieve relevant content.
  • System instructions, custom configurations, workspace settings, and saved preferences.

Support communications

We collect information you provide when contacting us for support, giving feedback, or submitting a privacy request.

Technical information and activity records

Our application, infrastructure, and integrated tools collect technical information and usage records. These can include IP addresses, browser and device information, session identifiers, page and feature activity, timestamps, and diagnostic or error information.

We also use cookies, browser storage, advertising trackers, analytics, and session-replay or screen-recording tools, as explained in Section 3.

2. AI processing and training

Processing your requests

CD-AI sends content to external AI services as needed to generate responses and perform requested features. Depending on the processing route and feature, that content can include prompts, relevant conversation history, system instructions, uploaded files, or extracted document content.

External provider training

Some processing routes permit external AI providers to use submitted content for model training. CD-AI does not currently provide a separate training-specific notice, opt-in, or opt-out before content reaches those routes.

Provider permissions and retention practices vary. CD-AI does not offer a platform-wide guarantee that content is excluded from model training or retained for zero days.

3. Cookies, analytics, advertising, and session replay

We use essential authentication cookies and browser storage, usage or product analytics, error-monitoring tools, advertising pixels or marketing trackers, and session-replay or screen-recording tools.

These tools support account sessions, help us understand platform use and diagnose problems, and support advertising or marketing measurement. Session-replay tools record or reconstruct interactions with the platform.

Nonessential tracking currently starts automatically. CD-AI does not currently provide an in-application control to disable this tracking.

No content masking or exclusion has been configured for replay and monitoring tools. Depending on their actual capture behavior, content displayed or entered in the platform may be available to those tools.

Whether advertising or analytics vendors can use information for their own purposes depends on the applicable tool, terms, and settings.

Browser settings may limit some cookies or tracking, but they do not necessarily prevent every collection method.

4. How we use information

We use information to:

  • Create accounts, authenticate users, and operate CD-AI.
  • Process prompts and provide AI responses and document-related features.
  • Store chats, files, workspaces, and preferences.
  • Respond to support communications and privacy requests.
  • Diagnose errors, maintain service availability, and understand platform usage.
  • Support the analytics, advertising, and monitoring activities described in Section 3.
  • Protect the platform, investigate misuse, enforce our terms, and meet legal obligations.

5. Administrator access and disclosure to others

Chapman Digital administrators

Administrators can access stored private chats and uploaded files through the administrative interface and through database or server access. Access permissions are governed by account roles, and administrator accounts use multifactor authentication.

AI and infrastructure services

We disclose information to external AI services and the infrastructure or storage services involved in processing requests and operating CD-AI.

Analytics, monitoring, and advertising services

The tools described in Section 3 receive the information collected through their integrations. Their permitted uses depend on their terms and our configuration.

We may disclose information when required by applicable law or valid legal process, or as legally permitted to protect rights, investigate misuse, and address security threats.

Information may also be transferred in connection with a merger, acquisition, reorganization, or sale of business assets, subject to applicable legal requirements.

6. Data location and security

We store CD-AI data in the United States and other countries.

Our verified safeguards include HTTPS/TLS for data in transit, salted password hashing, multifactor authentication for administrators, and role-based access restrictions.

No method of transmission or storage can provide an absolute guarantee of security.

7. Retention and deletion

Saved content

Saved chats and uploaded files have no automatic expiration. CD-AI also stores associated extracted text and vector embeddings.

You can use available application controls to export chats or account data, delete individual chats, delete uploaded files separately, and initiate account deletion.

Logs

Retention varies by log type.

Backups and external services

Deleting content through CD-AI does not necessarily remove every copy retained in backups or by external services at the same time.

We may retain limited information where required by law or otherwise permitted under applicable legal exceptions. The applicable purposes and retention periods will be described in the completed retention schedule.

8. U.S. privacy rights and requests

Depending on your state of residence, our processing practices, and the laws applicable to our business, you may have rights to:

  • Access or obtain a copy of your personal information.
  • Correct inaccurate personal information.
  • Request deletion, subject to applicable exceptions.
  • Opt out of certain sales, sharing, targeted advertising, or covered profiling.
  • Limit certain uses of sensitive personal information.
  • Appeal a denied privacy request where applicable.

Use the available in-application export and deletion controls or contact [email protected] to submit a privacy request. We may need to verify your identity or an authorized agent’s authority for certain requests. We will respond within applicable legal deadlines.

We will not discriminate against you for exercising your applicable privacy rights.

9. Adult eligibility and sensitive information

CD-AI is for individuals age 18 or older. Individuals under 18 may not use the service. Contact us if you believe an account or content has been submitted contrary to this age restriction.

Avoid submitting passwords, authentication secrets, payment credentials, or other highly sensitive information through chats or uploads. Consider the administrator access, third-party processing, training permissions, and tracking described in this policy before submitting confidential information.

10. Third-party websites

Links from CD-AI may take you to independently operated websites. Those websites have their own privacy practices.

Integrated AI, analytics, advertising, monitoring, and other services that receive CD-AI information are addressed in the sections above; they are not merely external links.

11. Changes to this policy

We will post updates on this page and revise the Last Updated date. For material changes, we will provide additional notice as appropriate and obtain consent where required before implementing the relevant change. Continued use alone will not be treated as consent where applicable law requires a separate affirmative choice.
